Journal Entries

Use manual journal entries for opening balances, adjusting entries, and bookkeeping that does not belong to an invoice, bill, expense, payment, payroll run, or another dedicated Eclipse workflow.

Find them under Accounting → Journal Entries at /finance/journal-entries.

  1. Click New journal and enter the journal date, description, and optional reference.

  2. Choose Standard, Adjusting, or Opening. Auto-reversal is available only for an adjusting entry and must use a later date.

  3. Add at least two lines. Each line must contain a debit or a credit, never both. Use active accounts from the current company and complete any dimensions required by those accounts.

  4. Save the entry as a draft. Eclipse checks that total debits exactly equal total credits before saving.

  5. Review the draft, then post it. Posting checks the accounts, dimensions, balance, and accounting period again so a stale draft cannot bypass a new lock or configuration change.

Drafts can be deleted while their period remains open. Once posted, an entry is immutable. Use Reverse entry and provide a reason to correct it; Eclipse creates the equal-and-opposite entry, carries the original line-level class, location, and division assignments onto the inverse lines, and keeps both entries in the audit trail. Retrying the same reversal returns the original result instead of posting twice.

Download the journal-entry template from the import workspace and keep these rules in mind:

  • entry_key is required on every row. Give every line in the same journal the same key, and use a different key for each journal.
  • Entry date, description, reference, status, category, and auto-reversal date must agree on all rows with the same key.
  • status defaults to draft; use posted only when you want the import to post immediately through normal period controls.
  • category may be standard, adjusting, or opening.
  • Every row needs an active account code from the current company and a positive debit or credit amount, never both.
  • Each journal must balance exactly and may contain no more than 500 lines.

The import is all-or-nothing. If any row, account, date, dimension, or journal is invalid, Eclipse records the exceptions and creates no journals from that file. Retrying the same valid import returns the original result instead of creating duplicates.

Creating, posting, deleting a draft, reversing a posted entry, and importing journals each records organization audit evidence. The audit log shows who performed the action and which journal or import changed without exposing raw financial payloads.
