Creating Invoices

  1. Click the “New Invoice” button in the invoices section 1. Select or create a customer 1. Add line items with description, quantity, and price 1. Set payment terms and due date 1. Review and send to customer
  • Select an existing customer or add a new one
  • Customer details are auto-populated from your records

Add products/services with:

  • Description
  • Quantity
  • Unit price
  • Tax rate (if applicable)

Saved services and service categories are shared only inside the active organization. Eclipse validates a selected category before saving the service, and service-library changes use the same organization and permission checks as invoicing. Category names and ordering are organization-wide: Eclipse saves category edits with their audit evidence, reorders the complete active list together, and detaches affected services in the same transaction when an unused grouping is removed.

AI description and pricing suggestions show confidence, source evidence, the exact editable field they will change, ledger guardrails, undo options, and audit posture before you apply them. Eclipse records shown and edited suggestion events without storing the raw suggestion text.

  • Set automatic payment reminders

Create recurring invoice templates to save time:

  1. Choose the customer and default line items
  2. Set payment terms and optional notes
  3. Choose the recurrence and first invoice date
  4. Save the schedule

Each due run creates one draft invoice for review. Retrying the same scheduled run does not create another invoice, and deleting a schedule preserves its run history.

After creating an invoice, you can:

  • Send via Email: Automatically email to customer
  • Download PDF: Save for records
  • Share Link: Send a public payment link
  • Print: Print directly from the system

Invoices have these statuses:

  • Draft: Not yet sent
  • Sent: Delivered to customer
  • Viewed: Customer has opened
  • Paid: Payment received
  • Overdue: Past due date
