QuickBooks import
Overview
Section titled “Overview”QuickBooks integration in Eclipse is import-first, not live two-way sync. Use it when you are moving bookkeeping from QuickBooks Online into Eclipse.
Plan your switch
Section titled “Plan your switch”Open Connections → Browse apps → QuickBooks Online → Switch from QuickBooks. The QuickBooks connection controls in My apps offer the same option. Selecting QuickBooks as your current accounting system during onboarding adds this option to your launch screen with your selected start date.
Choose Online or Desktop, a planned switch date, and a goal: opening balances with outstanding documents or full history. These choices prepare a plan; they do not start a financial transfer or change bank-import dates. Your plan is saved in this browser for the current workspace. Download its checklist for your accountant.
For an existing Online connection, select Preview available records, review the mappings, and start the import. The wizard shows Connect, Review, Import, and Finish stages. Without a connection, use Get migration help for setup.
Desktop users can use Open file import for a chart-of-accounts export. Eclipse does not accept Desktop company files or connect them using Online OAuth.
Current import scope
Section titled “Current import scope”The self-serve wizard currently imports:
- Chart of accounts
- Customers
- Vendors
Invoices, bills, payments, and opening balances are not available as self-serve financial imports. Contact support to assess a guided migration and missing workflows. The financial import implementation remains blocked by release controls; its presence in the code does not establish provider verification.
Finishing a reference-record import does not mean your financial books migrated. The validation report checks Eclipse operational balances against its ledger; it does not compare QuickBooks reports with Eclipse.
Verify before cutover
Section titled “Verify before cutover”- Retain source reports, lists, documents, and attachments. Record their dates, accounting basis, currency, and last bank reconciliation dates.
- Agree how opening balances, outstanding documents, and historical payments will be carried over without counting activity twice.
- Compare trial balance, balance sheet, profit and loss, customer and vendor aging, and reconciled bank balances at matching dates and accounting basis. Resolve unexplained differences with your accountant.
- Check final QuickBooks changes. Connect banks and sales channels using agreed import dates and review overlaps for duplicates.
- Review invoice numbering, payment terms, and team access. Keep QuickBooks and the source archive available until your accountant signs off.
- Keep QuickBooks as read-only after import until your team signs off on Eclipse reports.
- Migration sessions are org-scoped; switch organizations before starting if you manage multiple books.
- After Eclipse accepts the reviewed import, it continues in the background. You can safely leave the page and return to the migration wizard to see queued, running, completed, or needs-review status.
- A planned switch date is not evidence that balances or transactions have transferred.
- Classes, departments, tax codes, and payment terms have organization-and-company-bound database import authority, but they are not yet exposed in the self-serve wizard.
- Use the migration wizard for every import. QuickBooks does not offer a separate recurring live-sync action.
If Eclipse cannot prove that a rotating QuickBooks credential was saved after a provider timeout, it asks you to reconnect. This protects the connection from retrying a refresh token that Intuit may already have consumed.
